Is the option to import with charge date versus order date available?

This option is available in the beta version.  You can upgrade to it by choosing "Help" | "Check for Updates..." from the main menu.  It will tell you there is a beta release available and if you choose to install it, it will automatically download and upgrade SuperManager to the beta version, currently 1.1.6.7 for you.

In the beta it is under "View" | "Program Settings..." | "XML Exchange Formats" | "QuickBooks"

I installed 1.1.6.7 and did have to run a QB runtime update (QBFC 5.0).  Under "View" | "Program Settings..." | "XML Exchange Formats" | "QuickBooks"
I selected "Date Funds Were Received" under Transaction Date.  My Sales Receipt dates came through as 12/31/1969.  Did I select the correct options?  Bug?

We put this functionality in for someone using QuickBooks POS 4.0 and we have an open support ticket with Intuit to fix a problem in with the QuickBooks POS software developer kit.  So, unfortunately you are the first one to test this option.  You bring up a point which is not a bug per se, but there is a special way you have to use this feature that we may want to warn the user about as we are exporting to QuickBooks.

Before exporting you will need to go to "View" | "Admin" and update your merchant batches.  This will match up credit card transactions with items from your merchant batches and bring the dates from the batches into the card transactions in the orders.  Once you do that when you go into the orders you will see dates and a checkmark next to each card transaction.

This is caused because Yahoo does not export the date transactions occur.  The only way we can get the information is through matching them up with the merchant batches.

The "SuperFind!" button does not seem to work (I am using the Lite version - still in trial period).  I want to capture only one account/batch to test.

Just a side note here as well.  Typically using the 'import date' will not work for most users; as some only import weekly or monthly - totally messing up all reports.  It is best to either use the order date, or the date charged.

A couple of questions to help me understand what is not working for you:

1. Which SuperFind button is not working?  There is one on the orders, products and admin/batches screens.

2. If it is the admin screen/batches you are trying to SuperFind have you downloaded any batches yet?  You should be able to click "Update Batches" and download them, then enter an order number in the SuperFind box and it will show you which batch the order was charged in (if it was charged)

My mistake.  I thought I could put the order# and click SuperFind to bring up the admin/batch. 

I clicked "Get Batches", entered the order I wanted and clicked the SuperFind button, which brought up the batch I wanted.  I clicked "Submit Batches" and now I'm not sure what to do.  I'm really not sure what happened when I submitted the batches and where they went...  Help!

Glad you were able to get the batches in successfully and find the card transactions you were looking for.

The "Submit Batches" button submits your merchant batch for you.  So any transactions that had not posted/batched will be batched in Yahoo after you press that button.  Most people have their cart set up to post the batches once a day during the middle of the night.  Yahoo also allows you to submit them at any time manually and this button automates that capability.  - There should be no harm done, but I doubt that is what you were trying to accomplish.

Once you have gotten your batches you can go into the orders and the transaction dates will be there for any orders that were processed in those batches.  Once the dates are there you can post them to QBPOS.

Incidentally, the full version of SuperManager can charge the credit cards for you and when it does it, it records the date as they are charged so this process of having to download batches to get the dates to export to QBPOS is not necessary - you just charge the cards and then export them.

Thanks David.  You are right, I didn't want to submit the batches but now I know...

I just tried this again - In View/Admin I clicked the "Get Batches" button and 58 batches displayed.  I entered the order # I wanted to test and clicked "SuperFind".  That displayed the 1 batch with that order and all the other batches "disappeared" from this screen. 

I then went to View/Orders and there were no orders.  I must be missing a step??  I'm not sure what to do once I "Get Batches".

Once you have downloaded the batches there is nothing more you need to do on the admin page.  You don't even need to use the superfind button on the admin page.  That was just an example of how you would find an order in the batches if you wanted to.

After downloading batches just go to view orders and look at the "Closed" tab, which will likely contain all the orders that are ready to be exported.  Open one of them by double clicking on it on the list.  You should see the dates the transaction(s) was/were made in the payment events list.  Again, this is just to  that the transaction dates have been imported and demonstrates that the order is ready to be exported to QBPOS.

So to export it, just close the order details and go to the order list and choose export again.  It should export with the date set to the date of the last transaction.

That is what I did.  I just tried it again - Clicked "Get Batches" from View/Admin (and at the bottom it notes that  "Imported x batches") and the orders are not in the  View/Orders "Cosed" tab or any of the other tabs.

After importing batches are there orders on any of the order tabs?  There should be orders either on the "Open" or "Closed" tab.  Depending on how you have the open-status configured your orders could be in either place.  By default SuperManager requires that orders are marked charge/paid and shipped before they are considered closed.  You can change this by going to "View" | "Store Settings" and looking at the "Order Processing and Automation" tab.  If you change it to "Charged/Paid" if an all funds due for the order have been recieved the order will be moved to the "Closed" tab.  For SuperManager Lite this is probably the best configuration since it does not deal with shipping of orders like the full version does.  This also lets you know which orders are prepared for exporting to QuickBooks.

Let me know if you are unable to find the orders on any of the tabs and we can arrange to do a remote desktop to come in and give you a hand.

Hey Melinda,

Let's start from the beginning and see if this works for you.

1. Click "File->New" to start a new file.  When prompted, click "Yes" to use settings from current file.
2. Click "Get new orders" and download the orders that you want to get in the system.
3. Click "View->Admin" and then click "Get Batches" to download and import the Batches.
4. Click "View->Orders" and go back and see the order list
5. Double click on an order that has been charged and then look at the bottom left and see if the charge date has been added to the "sale" card event.  If it has been added then everything should be ok and you should be able to export orders to QB with the Charge Date.

If there isn't a date next to the card event then do the following..
a. Close the Order Details Dialog of the order you are looking at.
b. Click "Actions->Payment Events->Scanned for Batched"
c. then double click on a charged order and see if the payment event at the bottom left has been marked with a charge date
