QuickBooks / Cannot export to Excel as of 8/25...

All of a sudden on August 25 my SM orders cannot be exported through XML to Quickbooks. I get the following message on all of the orders...

Unable to add customer 'Denise XXXXXXXX' - Unknown error while adding customer to QuickBooks. :?

We have done nothing differently...not power outages...no computer crashes...no program "re-starts". Any thoughts on how to correct this?

General / Convert Packing Slip to PDF file?

Is there a way to convert the HTML packing slip to a PDF document?

We have a couple of drop ship vendors who want us to e-mail them a packing slip to include in the boxes they are shipping on our behalf.

I know I can e-mail a packing slip to them in the body of an e-mail, but I don;t want them to then just print out the e-mail and enclose in the box. It looks pretty cheesy. I would prefer to convert the packing slip into a PDF and then attach the PDF to the vendor e-mail.

Is this possible?

I have to re-load all of my 2008 orders into a new QB datafile and am finding that it is a tedious process because all of the orders are "marked as exported" and require an override on each individual order.

Is there a way to "unmark" a group of orders? :?

Fixed Bugs / Problems in the Multi-Store version

I know that the version of SM I use is different than most other people...and is apparantly still a "beta". (I just found that out from Rox Brown!), but there are some issues that have made it very difficult to export info into QB.

There are certain settings that do not "stick" in the Store settings. For example, If I set the class to TNG for the Top Notch Gift site for export purposes, the class is set in all three stores as TNG. If I try to change the class for either of the other 2 stores, the class change in all 3 stores, not just the one.

The same is true for the e-mail template settings and reports (i.e. invoices).  You can't define templates for each store, you have to have the same settings for all three stores (not a QB issue, but a glitch just the same.)

I also notice that when we update to Yahoo store after making a change in the total price (adjust shipping, etc.), the cost does not update to Yahoo. The orders in the Yahoo Store system show the old price and the "new" credit card charge leaving "open" orders in Yahoo. Not a big deal since we don;t use Yahoo fpr much processing, but not right. The same is true for the Status. When I update Status in SM and click to update Yahoo, the status does not change. This is a bigger deal since customers do check their orders online for status.

Another small issue, the tally of orders and the revenue in the upper left is not right. Each time I download new orders it should just add to the totals, but sometimes it does...sometimes it doesn't. Can't rely on that information at all...

Overall, the multi-store program is very slow...

Is there a plan to keep working on this version of SM and get it out of beta? I have been using it for some time now and feel like nothing has been added or changed in a long time...

Is there a way to create a report that will print out only the "Yes" responses on a custom variable?

For example, I just want to print a report that shows the people who have selected to "opt-in" to our mailing list. I have created a report that includes the following fields:

bill_custom2, order_id, bill_first_name bill_last_name, order_email, bill_zip

The "bill_custom2" is a Y/N input for the customer. The problem is that I get all of the orders printed, but I only really want the "yes" responses.

Any ideas?

Other Software / Exporting order fields to CSV file

I have a drop ship vendor who want's me to send him orders via a CSV file rather than the e-mail PO we are now using.

It seems that this is probably possible in SM, but I am not sure where to begin to build the file.

Can you help?

We recently split up our single mercahnt account into 3 separate accounts...1 for each of our 3 Yahoo stores. The Yahoo stores are capturing the batches correctly, but I can't import the batches into Super Manager for one of the stores. The other 2 import correctly, but our main store keeps saying there are no new batches...even though I see them in the Store back-end.

Any thoughts on this?

This morning when I started Fedex ShipManager, a new version downloaded and was installed.

The new version seems to work fine with the SuperManager integration EXCEPT for the weights. The weights are no longer coming over from SM to Fedex. Is there something I need to change to make this work again?

Good Morning all!

Before we had SM, we entered every Yahoo Store order into QB individually and entered every customer payment individually.

When we got SM, we stayed with that same method of exporting each order into QB and manually entering every payment into QB.

Now, a year later, our business has grown to the point (no complaints!) where is has become too bulky (in many ways!) to enter everything individually. I would like to change my method of export from individual invoices to daily sales receipts and then upload the CC bathces and Paypal paymeents from SM.

My question is...what do I need to do to change the methodology in SM and how can I accomplish this new process with as little disruption to the accounting system as possible...

I have an odd situation that I am not sure how to resolve...

When we enter tracking numbers in to SM we go through Shipments>Enter Tracking IDS. I enter the tracking number and click on OK. I always get a window that asks if I want to send the tracking info to Yahoo and I click on Yes.

The problem is that not all of the tracking numbers seem to go through. I can;t find a pattern to what goes through and what does not. We get quite a few calls from customers wanting to know when their package is going to ship. I have the info in SM, but when I log into the Yahoo Store Manager the info is nowhere to be found in the customer order. Most go through, but many do not.  Any thoughts?

I went to print out my sales tax liability report today to fill out the quarterly return and send in. The information I got out of the report makes no sense, so I have apparently not set something up correctly so the tax liability is not showing up correctly.

I have attached a PDF of my sales tax liability report. If I pull out the detail on the "Tax Reference" line, there are multiple orders in there on which tax was collected, but it is not showing up the the "tax Collected" column. The 7.75% tax item is calculated correctly, but the CA Sales Tax item is WAY high for the sales figures shown.

I am confused!...and in a bind, since I waited until last minute to file my return. I have never had a problem before so I didn't even contemplate this sort of situation!

Can you help?

Good Morning!

I have just downloaded the new version of Sm and really like the new functionality features you have added!

One problem though...

We have been using a packing slip template for our orders that includes the "bill_custom" variable to insert our gift message. (We can't use the Yahoo Merchant "Gift Message feature because it is tied to a gift wrap option that we do not provide). In the new version of SM, instead of the gift message coming up there is a line that reads "BAD-ADDRESS-CUSTOM-TAG". Is there a new variable I should be using in my HTML to pull the gift message?

Also, we have recently added an "Opt-In" field in Yahoo Merchant that is showing up in the Custom Fields in SM. We don't want the Opt-in field to show on our packing slips.

Any ideas?

I have attempted to upload a manual order into my Yahoo store and I keep getting a ButtonClick Failed (error 1000) message.

What would cause this?

General / Printing Out Custom Fields

We include gift messages with out products, but do not offer gift wrapping. Yahoo Merchant does not allow separation of the gift wrapping option from a gift message so I have set up a custom field on the shipping page for "Gift Message" and have hidden the standard Yahoo "Gift Message" field.

My question is this. How do I get the custom Gift Message text to print out on the packing slip I have created. I have tried the SM variable "shipping_custom", but the gift message does not appear.

QuickBooks / Item Not Found Error Message

I have attempted to export my first batch of orders from SM to QB and I am having a problem with the Gift Wrap Item (I think), which is kind of weird because we don't offer gift wrap and keep the option hidden from the customers in our Yahoo Store...

When I go to export I get a message box that the item does not exist and SM is going to create it. So I type in the account Gift Wrapping (which exists in our QB Account chart as an Income account).  Then, when SM trys to complete the export I get an error message "Item does not exist"

I'm confused!...   :?  What am I doing wrong?
