Title: Inventory Information into Quickbooks
Post by: ttandot on February 20, 2010, 07:30:57 AM
I have two probably very easy questions but I can't get these things to work:

1. I can't get the inventory which is correct in Supermanager, to update into Quickbooks Pro 2009.

2. Because of the way item options are priced in yahoo (for example, a 3oz bottle of lotion is priced at $5 but the dropdown option of an 8oz bottle which is $2 more is formatted like this: "8oz (+$2)") I can't get Supermanager and therefore Quickbooks to accurately track the cost of the various options. Is there a way to do this?

Thanks!

ttandot,

1. There is a function to import inventory from QuickBooks into SuperManager, but not the other way around.  The way that SuperManager updates the inventory in QuickBooks is by creating sales receipts/invoices for you orders, which include the items.  When an item is added to a receipt/invoice, QuickBooks subtracts that item from the inventory.  Has this not been working correctly or were you expecting the "QuickBooks Inventory" XML exchange to push the SuperManager inventory values into QuickBooks?

2. You can handle this by creating variants for this item and mapping the 3oz bottle to one QuickBooks item and the 8oz bottle to another.  The user's manual explains how to do this in section 11.1.c.1 (http://www.thesupermanager.com/sm_usersmanual.pdf#page=67).

Thanks for getting back to me. Actually we haven't really been using Quickbooks up until now and have been using SuperManager to process orders and update inventory. I thought that since we had inventory already entered into SuperManager, that we could somehow send it the other way. We can just enter it manually into QB I guess. May be a stupid question, but how will SuperManager know to take the items out of QB? I guess we keep QB open when processing all orders?

Thanks!

Also I understand how to map the different variants to QB but is there a way for the different prices to be automatically pulled even with the funky yahoo formatting?

ttandot,

When SuperManager adds items to a transaction (invoice or sales receipt), QuickBooks reduces that product's inventory by the quantity ordered.

SuperManager will force the price for the items in the orders to match the price in Yahoo.  It doesn't use the QuickBooks prices when exporting orders into QuickBooks.

Thanks,
David
